Spending Accounts

Less “one size fits all.” More “you do you.”

A set amount per employee, spent on what each person actually needs.

Spending Accounts

S+F Group Benefits sets up health, lifestyle and flex spending accounts for small and mid-sized businesses across British Columbia. Each employee gets a fixed dollar amount for the year and spends it on the care or wellness they choose.

For an owner, the appeal is simple. You know your full cost before the year starts, and it doesn't rise when claims do.

The details are where most accounts go wrong. The three account types are taxed very differently, and a poorly chosen setup can turn a tax-free benefit into extra payroll work, or leave employees paying tax they didn't expect.

We set it up so the tax works for you.

Key takeaways

  • A spending account gives each employee a set annual amount. Your cost is capped and known in advance.
  • A health spending account (HSA) covers eligible medical and dental costs and is tax free to employees.
  • A lifestyle spending account (LSA) covers categories you choose, such as fitness or childcare, and is a taxable benefit.
  • A flex account lets each employee split their amount between the two.
  • S+F designs the account around your existing plan, your team and how you run payroll.

What a poorly set up account costs you

Spending accounts are one of the most flexible benefits you can offer. They are also one of the easiest to set up badly.

Get it right and it becomes the benefit employees talk about. Each person uses it for what matters to them, whether that is a massage, new glasses or a gym pass.

Get it wrong and the first year brings surprises. Lifestyle account claims show up as taxable income on T4s. An employee who expected coverage for a large drug claim finds their $1,000 balance runs out in a week.

Both are avoidable. They come from choosing the wrong account type, or from nobody explaining how the account fits with the rest of the plan.

How a spending account works

A spending account sets aside a fixed annual amount for each employee, funded by the employer.

  • Your cost is capped. You decide the amount per employee at the start of the plan year. Claims experience does not change what you pay.
  • Employees claim against their balance. They submit receipts and are reimbursed up to their available amount. Unused amounts cannot be cashed out.
  • Amounts can differ by group. You can set different amounts by role, years of service or family status, the same way you would for any other benefit.
  • You never see the medical details. Claims are handled by the carrier or a third-party administrator. Your employees' health information stays private.

The three spending accounts

The three accounts differ in what they pay for and in how the Canada Revenue Agency (CRA) taxes them. That difference drives the whole design.

Health spending account (HSA)

What it pays for
Medical and dental expenses on the CRA eligible list. That includes what your insured plan didn't pay, and items outside it such as orthodontics and laser eye surgery
Tax treatment
Tax free to employees. Deductible for the employer
Where it fits
Topping up an insured plan, or covering a group too small or varied for a full plan

Lifestyle spending account (LSA)

What it pays for
Categories you choose, such as fitness, sports equipment, mental health apps, childcare, professional development or travel
Tax treatment
A taxable benefit. Added to employment income, reported on the T4 and run through payroll
Where it fits
Retention and culture, where choice matters more than tax savings

Flex or combo account

What it pays for
Each employee decides before the plan year how to split their amount between HSA and LSA spending. For example, $1,000 could be split $500 and $500
Tax treatment
Each portion follows the tax rules of the account it goes to. The split is locked for the year
Where it fits
Teams with a wide mix of ages, families and priorities

Many groups run a small lifestyle account alongside a larger health account. Neither is better. They answer different questions.

Where spending accounts fit in your plan

A spending account is a top-up. It does not replace insurance for large, unexpected claims.

  • It can't absorb a catastrophic claim. A $1,000 account won't respond to a $30,000 drug claim. For most groups, the insured plan and its pooling stay the foundation, and the spending account sits on top.
  • It can be a first step for a small group. For a small or new business, a health spending account on its own can make sense, as long as you understand that limit and plan to add insured coverage as you grow.
  • An HSA works best for predictable costs. Paramedical visits, orthodontics and vision regularly run past plan maximums. An HSA covers the difference.
  • An LSA works best for individual wellness. It supports what each person values, from a ski pass to a counselling app.
  • LSA dollars are payroll dollars. They must be reported as taxable income. This is the most common surprise in the first year.
  • An HSA affects CDCP eligibility. Employees with dental access through a health spending account are not eligible for the federal Canadian Dental Care Plan.

Spending accounts need regular review

Spending accounts are easy to set and forget. The right amount and the right split change as your team grows, ages and starts families.

We review how your accounts are being used at every renewal: which categories people claim, who runs out early and who leaves money unused. If you want the wider picture of where group benefits costs hide, our guide, The Real Cost of Benefits in BC, covers it in more depth.

We explain it. We don't sell it.

If you already offer a spending account, we start by explaining what you have: the account type, the tax treatment and how it lines up with your insured coverage. Many owners find their setup was chosen by default.

If you are adding one for the first time, we ask about your team, your budget and how you run payroll before we recommend an account type. A spending account should fit the plan you already have and the people who will use it.

You do not have to wait for renewal season to have this conversation.

Our company have been partnering with S+F Group Benefits for over 20 years, and the bottom line is: all their staff is very friendly, but professional. The thing we like best is they are very quick to respond to our questions. We have been approached many times by other Benefits Company, but we’re staying with S+F as they have always taken time to show us what’s out in the market and explain to us the advantages and disadvantages of what they’re proposing. Highly recommended.

Let's get started on that solution. reach out, we're (really) here for you.
